PURPOSE

We must check on the carrier site if the containers are loaded on vessel. For this we must compare the information from the system with the information from the carrier sites: the vessel name, the ETD (we can accept ETD with a difference of a day after or before), the ETA (we can accept a ETA with a difference of 3 days after or before).

FILE SEARCH

To check if a container is loaded on board we must go to „File Search a 7. BL a double click on each BL line a VoyageNr.”

CHECKING ON THE SITE

The check on the site can be done by Booking number or by container number. If shipment has more then one container we must check the information for each container.

We fill in on the site with booking number of container number.

CHECK VOYAGE

We open the Voyage information in the system. The following screen will appear and we must compare the information from system with the information from the site:

The vessel name is matching, for ETD is a day difference between the system and the site and we must change the information from the system with the information from the site (exchange date must be always the same as ETD), the ETA is also matching with the ETA from the site.

DETAILS NOT MATCHING

If the ETD and/or ETA and/or vessel name are not matching or are more containers on the shipment but not all of them are loaded we make a general note in which we must mentioned which informations weren’t correct (in the bellow print screen a container was not loaded and we specified this by a general note).

The errors must be also added in CC Tariffs -> Match Amounts -> Copy of MA3.

EXCEL FILE - DATE

In the date field we add the date that we process files.

Insert the file nr: 10.07163.2017

EXCEL FILE - CUSTOMER

Insert the customer – ex: Lanxess

EXCEL FILE - INCORRECT VESSEL

Incorrect vessel – in case vessel is not correct we add the vessel name from the carriers site.

ETD IN SYSTEM

Insert the ETD you found in the system.

ATD FROM SITE

Insert the details from site – ATD from site.

ETA IN SYSTEM

Insert ETA from the system.

EXCEL FILE - REAL ETA

Real ETA – insert real ETA from site.

EXCEL FILE - OTHER ISSUES

Other issues – like information not found on site; incorrect loading port; carrier site not working.
